Privacy Policy
Last updated: 9 October 2026
How personal information and confidential research are handled across PaperNest, TRAIN, and BRAINCON.
Scope and responsibilities
PaperNest is developed by Satyabodhi.AI and powered by the BRAIN Foundation. This notice covers public browsing, accounts, manuscript submissions, peer review, publishing, conference participation, and support. The relevant journal, conference, or institution manages its editorial and event records; contact us to identify the responsible organization for a particular request.
Information you provide
Account and profile information can include your name, email, affiliation, country, ORCID, expertise, and professional details. Scholarly records include manuscripts, supplementary files, co-author details, declarations, reviews, revisions, decisions, and messages. Conference registrations can include contact details, attendance category, dietary requirements, accessibility needs, and clothing size. Support requests include your contact information, issue description, and the page involved. Only provide sensitive event information that is needed to arrange your participation.
Information from others and technical data
Co-authors, editors, reviewers, and organizers may provide information about you as part of legitimate research workflows. Google sign-in supplies identity information when you choose it. The service also processes authentication records, request identifiers, security logs, workflow activity, and browser-stored preferences or drafts.
Purposes and lawful grounds
Information is used to provide accounts and research workflows, communicate decisions and reminders, arrange conference participation, answer support requests, prevent misuse, and maintain scholarly records. Where applicable law requires a legal basis, processing depends on the requested service, legitimate operational and research-integrity interests, legal obligations, or consent for optional information. Contact us about the basis applying to your circumstances.
Who receives information
Authorized journal and conference staff receive information needed for their responsibilities. Reviewer access depends on the venue’s review model; double-blind submissions should exclude identifying details from the review files. Event organizers receive registration details needed to administer participation. Service providers may process information for hosting, authentication, email, and operations. We do not sell personal data or use manuscript content for advertising. Information may also be disclosed when legally required or necessary to address a security or research-integrity issue.
Public information and research confidentiality
Public venue listings and released publication metadata can include author names, affiliations, titles, abstracts, and publication identifiers. Submitted manuscripts and confidential review material are not public merely because they are uploaded. Open review or publication of review material depends on the venue’s disclosed policy and applicable permissions. Do not include unnecessary personal information in files that will become public.
Automated checks and AI assistance
Manuscript checks can assess formatting and other submission requirements. Their outputs are advisory and may contain errors; they do not establish originality, scientific validity, or acceptance. This notice does not grant permission to train external AI models on unpublished manuscripts or confidential reviews. Ask the venue or support team about any enabled external analysis integration before sharing restricted research.
Storage, providers, and international processing
Application records use PostgreSQL infrastructure and manuscript files use application-managed storage. Hosting and enabled providers can vary by deployment. Information may be processed outside your country. Contact us for the current provider, hosting-location, and transfer information relevant to your institution; no fixed residency commitment is made by this page. Google sign-in and external websites are also subject to their own notices.
Retention
Account, support, security, and scholarly records are retained for the purposes described above and applicable legal or venue requirements. Published scholarship, decisions, review history, and integrity investigations may need to remain after account closure. Backups may retain residual copies until their normal replacement cycle. Contact us for the retention schedule applicable to your records; this notice does not promise a single automatic deletion period for every record type.
Your choices and rights
Depending on applicable law, you may request access, correction, export, deletion, restriction, or objection, and withdraw consent for optional processing. You can update profile details in your account. See Data Rights & Account Deletion for the request process and scholarly-record exceptions. Where applicable, you may raise a complaint with your local data-protection authority.
Cookies and browser storage
PaperNest uses authentication cookies and browser storage for sessions, preferences, and local submission progress. See Cookies & Browser Storage for their purposes and controls.
Children and changes to this notice
The service is intended for researchers, publishing teams, and conference participants. Minors should use it only with authorization required by their institution, event, and applicable law. Contact us if a child’s information has been provided inappropriately. Updates are published here with a revised date; material changes may also be communicated through the service.
