Terms of Service

The conditions for using PaperNest’s journal, conference, and research-community services.

Scope and acceptance

By using PaperNest, you agree to these terms and the policies linked below. PaperNest is developed by Satyabodhi.AI and powered by the BRAIN Foundation. If you use the platform for an organization, you must have authority to do so. A separate signed institutional or venue agreement governs any additional service commitments and takes precedence for its subject matter.

Accounts and access

Provide accurate account information, protect your credentials, and report suspected unauthorized use. Accounts must not be shared or used to impersonate another person. Staff responsibilities and access are assigned by authorized administrators; registration alone does not grant editorial or administrative authority.

Submission responsibilities

You must have authority from all listed authors to submit a manuscript and permission to use its text, figures, datasets, and supporting materials. Follow the selected venue’s eligibility, formatting, review, declaration, and deadline requirements. Submission, reviewer invitation, registration, or a successful file check is not a promise of acceptance or publication.

Ownership and permissions

You retain rights in your submitted work. You grant the platform and the relevant venue the permissions needed to store, process, and share it with authorized participants for review and publishing administration. Final publication, open-access licensing, and any copyright transfer require the applicable venue agreement; uploading alone does not transfer copyright.

Confidentiality and responsible use

Protect unpublished manuscripts, reviewer identities, confidential notes, and private participant information. Review visibility follows the selected venue’s policy. Use the service lawfully and respectfully under the Acceptable Use & Code of Conduct and Publishing Ethics policies.

Privacy

Personal information is handled as described in the Privacy Policy. You are responsible for having an appropriate basis to provide co-author or participant information. Data-rights requests are considered alongside applicable scholarly-record and legal obligations.

Fees and external services

Conference participation and publication charges, where applicable, are determined by the relevant venue or organizer. Refer to Registration, Fees & Refunds. Third-party websites and enabled provider services have their own terms. A platform account or publication decision does not establish a payment or refund entitlement.

Service availability and changes

Features may change, be maintained, or become temporarily unavailable. Keep copies of your research files and verify saved submissions in your workspace. No uptime, recovery, response-time, indexing, DOI, or publication-turnaround guarantee is created by these public terms; any such commitment must be expressly agreed with the responsible organization.

Restriction and account closure

Access may be restricted when necessary to address abuse, security incidents, legal requirements, or violations of venue rules. You may request account closure through the data-rights process. Closure does not automatically erase published research, completed editorial decisions, or records that must be retained. Contact support if you believe a restriction is mistaken.

Limits and disputes

To the extent permitted by applicable law, the service is provided on an as-available basis and does not guarantee research outcomes or uninterrupted operation. Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded. Raise service disputes with support first; editorial appeals are handled by the responsible venue under its published process. Any governing-law or service-specific terms in a signed agreement remain applicable.

Updates

Revisions are published on this page with an updated date. Material changes may also be communicated through the platform. Review the applicable venue’s terms before a new submission or conference registration.
